Stewarding

Background

Running throughout July in Aberdare "Town of Song", Rhondda Cynon Taf, Caradogfest features a whole series of exhibitions, talks and choral performances, centred on the weekend of July 15th & 16th

Our focus is on the central Saturday event on Saturday July 16th, and specifically supporting the road closure and visitor welfare

Stewarding Plan

Outline

As stated above, our focus is on the Free Outdoor Choral Performances and Procession preceding on ​Saturday July 16th, the plan for which is as follows:

St Elvan's Church in the centre of Aberdare will be the marshalling base for the performers and local school children involved in the procession which starts the day


St Elvan's is located on Church Street, CF44 7AB and can be found on online at ​what3words.com/uses.tunes.lovely

The Church will be open from 10:00 onwards. It has an in-house coffee shop and will also have bottled water stocked on site for performers and stewards, as will Green Street Chapel at Library Square

Performers

Featured in the procession will be the participating choirs (380 total), local school children (c.100) and brass band (c.30)

Meeting Times

The adult choirs and brass band will all meet at St Elvan's from 11:00 onwards, while the children's choirs will first meet at Green Street Chapel c.11:00, before then walking up to St Elvan's for the start of the procession

Event Management

The overall event on the day will be managed by St Elvan's Business Development & Marketing Officer Craig Roberts

The individual choir stages will be managed by Ellis Lee of EML Events

The road closure will be managed by Forrest Traffic Management, supported with stewarding assistance from ourselves

Forrest are responsible for TM design and execution. The company will have 8 operatives on site on the road closure, which will include two way traffic lights and signage, road closure diversion signage and the installation of warning signs seven days prior to the event 

Responsibilities

Our job is to support Forrest & EML in the delivery of the event

Forrest will handle all the complexities of the physical road closure, redirection of traffic and all issues arising from that

We are there to support them in delivery, and the reopening of the roads in the event of an emergency (i.e. the need for emergency services access or similar)

Similarly with the performance events, EML will handle the technical issues of supporting the choirs with PA systems, chairs, etc.

Our role is to support in terms of providing a visible presence for enquiries, assisting with any crowd management required and observing and reporting any potential anti-social behaviour

Communication

​Communication will be undertaken by means of two way radios


The event management team stewards, first aid and event staff will have access to dedicated hand held radios and also mobile phones

The Stage PA's will be used for safety announcements and may be used for emergency announcements if required

A back-up system utilising a battery powered megaphone will be used if the main PA system were to fail

The radios are user friendly and instruction will be given on the morning of the event

Good radio etiquette is vital. The radios should not be used for general conversation, and channels must be kept clear in the event that an urgent situation arises

At all times, please be sure to let one speaker finish before responding. Talking across each other will simply cancel out each other's communications

Toilets | First Aid

Lavatories are located in Library Square Car Park

First Aid is provided by St John Ambulance and located in Green Street Chapel on Library Square

An ambulance is also available on site at Library Square

What To Do In The Event Of An Incident

Any and all incidents, from lost children, to emergency vehicle access required to anti-social behaviour should be reported to the Event Manager and from there the wider team can follow instruction and react accordingly

Event Management can always be reached on radio, by simply requesting "Station X to Control"

In the event of radio failure, Event Management can be reached throughout the day on 07901991013

Water

Bottled water is available throughout the day from Green Street Chapel and St Elvan's

*Please remind performers and stewards to retain and refill their bottles rather than disposing of them. The heat is expected to be extreme and refilling water bottles will help

Sandwiches are being provided for all performing groups. These will be available on a timed schedule upstairs at St Elvan's and also at St Elvan's Parish Hall on Monk Street, as follows:

Equipment
Each outdoor venue (Library Square, Lloyds Square & Market Square) requires both a piano and gazebo for weather cover. These need to be distributed following the morning Steward Briefing and returned following the final performance of the day, as follows:
